As an Staff Assistant (Office Automation), you will:
Assist in completing the daily overall administration and management of the office. Advise the Department Head and staff on administrative and procedural requirements. Maintain time and attendance records; provide training or guidance to staff members on timekeeping rules and procedures, and resolve time and attendance issues. Use a variety of office software such as MS Office software to prepare, edit or update documents, reports, spreadsheets, minor databases, and slide presentations. Assist staff in preparing office reports and data gathering. Review administrative documents for outdated or irrelevant material and updates the information as appropriate. Prepare and manage a variety of lists, forms, and reports, including office personnel rosters and emergency recall list. Maintain meeting calendars and personal schedules for the Department Head as directed. This includes:
scheduling meetings, reserving conference rooms and assist in setting up the facilities, notifying attendees and assembling materials needed for meetings and conferences. Make arrangements for domestic and foreign travel by preparing travel authorizations and vouchers per Federal Travel Regulation (FTR) and General Services Administration (GSA) standards. Assist the Department Head in obtaining the necessary documents and clearances for traveling abroad. The ideal candidate for this position possesses the ability to provide administrative support to a fast pace environment, work with all levels of management, employees, students and stakeholders to provide excellent customer service. To meet the minimum qualifications for this position, you must meet the specialized experience qualifications. To qualify for the GS-06 on Experience, you must have at least one year of specialized experience equal or equivalent to the GS-05 grade level in the following:
Experience performing administrative support to the highest level of authority in the office and stakeholders. Experience maintaining calendar, making travel reservations, scheduling meetings, receiving visitors, and preparing and following up on pending or required correspondence actions. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
